• Output Data: LLM-generated summaries, responses, and suggestions.

• Account Data: Email address, organization name, payment info (where applicable).

2. Data Usage and Processing

We use your data to:

• Provide and improve our services
• Train and evaluate system performance (only under free tier)
• Monitor for misuse or abuse of the platform
• Ensure data integrity and security

3. Sharing with LLM Providers (e.g., OpenAI)

To support our service, we may share prompts and responses with third-party LLM providers (e.g., OpenAI) to leverage their compute infrastructure. For users on the free or pro tier, input/output data may be transmitted to:

• OpenAI models (gpt-4.5-preview, gpt-4.1, gpt-4o, o1, o3, and others)
• In accordance with OpenAI's usage policies

Institutional Plan Exception:

For enterprise/institutional clients on custom billing plans, Arcafeed ensures zero data sharing with external LLMs. These deployments use containerized models and private RAG infrastructure to ensure data security and proprietary control.

4. Custom Retrieval + RAG Systems

Arcafeed uses custom Retrieval-Augmented Generation (RAG) pipelines for isolating customer data. This includes:

• Containerized Vector DBs
• Query scoping to private data only
• No co-mingling of customer documents

5. Data Security

We use Firebase Firestore for secure document storage and authentication, including encryption-at-rest and end-to-end data isolation. Users are responsible for maintaining the confidentiality of their access credentials.

6. Data Retention

We retain user data only as long as necessary to provide services and for legitimate legal or compliance purposes.

7. Your Rights

If you're a resident of the EU, UK, or certain US states, you may have rights to:

• Access or delete your data
• Object to certain data uses
• Export your data
